The Town of Whitchurch-Stouffville (the “Town”) is soliciting Proposals for a Contractor to perform Operations and Administration Services for the Stouffville and Hartman Cemeteries located in the Town of Whitchurch-Stouffville. The specifications and scope of Work for this contract are as set out in this Request for Proposal (RFP), as may be amended by addendum issued by the Town. Broadly, the successful Proponent will be required to, but not limited to, the following Work in accordance with the standards already established by the Town: · Liaise with funeral homes and/or families via phone, fax and/or email responding to queries related to cemetery operations; · Handle year-round cemetery interments including site rehabilitation; · Install corner stones to mark graves; · Prepare foundations for headstones; · Maintain an accurate database of interments and foundations completed and provide this information to the Town’s Cemetery Administrator in a timely manner; · Notify the Town’s Cemetery Administrator of concerns/items requiring attention at the respective cemetery; · Address specific cemetery operations requests made by the Town on a fee-for-service basis and in a timely manner; · Respond to inquiries from the public within twenty-four (24) hours of notification; and Ensure any relevant administrative tasks and records are kept current and in accordance with Town/legislation requirements. |
