The Corporation of the Town of Whitchurch-Stouffville Leisure & Community Services Department is soliciting Bids for grass cutting, trimming and maintenance services, as outlined in this bid document. The period of the Contract in 2020 is approximately 27 weeks commencing the week of May 4^th, 2020 and ending in late October/Early November, 2020. The contract may be extended for another three (3), one (1) year terms if mutually agreeable to both parties. 

The grass cutting and maintenance properties defined in this Proposal are divided into two (2) areas: Part 1 Urban - in-Town (Stouffville) and Part 2 – Rural – outlying areas. Proponents must submit a bid for both Parts in order for their Proposal to be considered for award.

  The Work includes, but is not limited to, the following:

·  Designated grass areas to be cut to a two (2) inch finished cut surface;

·  All garbage and debris is to be removed prior to grass cutting/trimming;

·  All obstacles and edges to be trimmed around (i.e. driveways, curbs, trees, adjoining walkways);

·  Long cuttings to be raked, bagged and removed; clippings on walkways or roadways to be swept or blown away;

·  Cutting to be carried out on a weekly schedule and must not interfere with scheduled activities (ball games, etc.);

·  Anticipated 27 cuts/year (season) per location. (Note, the Town reserves the right to cancel or add cuts due to environmental factors or other (e.g. heat wave) at its sole discretion;

·  Cuts commencing in September and October include the mulching of leaves and therefore the mowing equipment required must include mulching blades; and

·  Work to include a spring and fall clean up of leaves and debris as required.

The Town may require the Contractor to address any specific operational requests made by the Town on a fee-for-service basis and in a timely manner.

The Specifications and Scope of Work (collectively, the “Work”) for this project are as set out in this Request for Proposal (RFP), as may be amended by addendum issued by the Town.
